Acceptance of terms

By accessing or using FreedomCore Pilates’ classes, services, website, or facilities (“Services”),

you agree to be bound by these Terms of Service. If you do not agree, you may not use our

Services.

Services provided

FreedomCore Pilates offers:

  • Pilates classes (group and private)

  • Specialty fitness classes

  • Memberships and class packages

  • Workshops and special events


Services may evolve over time, and we reserve the right to modify or discontinue any aspect of

our offerings.

Eligibility

To use our Services, you must:

  • Be at least 16 years old, and (or) have parental/guardian consent

  • Complete all required waivers and forms

  • Accurately provide personal, contact, and billing information

  • Agree to follow studio policies and safety rules

We reserve the right to refuse service to anyone who violates these terms.

health & Safety

By participating in any class or activity, you acknowledge and agree that:

  • Physical exercise carries inherent risks, including injury.

  • You are responsible for determining whether you are physically able to participate.

  • You will notify instructors of any injuries, medical conditions, or limitations.

  • You will follow all instructor guidance, safety rules, and equipment instructions.

  • Clients are required to adhere to all instructor guidance, including assigned spring settings and props. Deviations are not permitted unless approved by the fitness professional.


You understand that FreedomCore Pilates is not responsible for injuries that may occur due to your participation, misuse of equipment, or failure to follow safety guidelines.

Scheduling, Cancellations & no-shows

Booking

Classes must be booked through our online system or mobile app.

Clients must confirm their class schedules via the FreedomCore website or mobile app.

Reliance on personal calendars is not sufficient.


Class Cancellations

Cancellations must follow studio cancellation policies (posted on website or scheduling app). Late cancellations may incur fees or loss of class credits.

CANCELLING CLASS VIA EMAIL, TEXT, PHONE CALL, OR SOCIAL MEDIA IS NOT ACCEPTABLE MEANING YOU WILL BE CHARGED ACCORDINGLY. You are responsible for your schedule, not the studio.

There is no penalty if you cancel class 12 hours (or more) prior to class start time.

Late cancellation penalty: Packages and Limited Memberships including single class, 5 class, 10 class, 8 class monthly membership, and 12 class monthly membership will lose a credit. Unlimited memberships receive a $15 fee.



No-Shows

Failure to attend a scheduled class without canceling may result in no-show fees or forfeited credits.

CANCELLING CLASS VIA EMAIL, TEXT, PHONE CALL, OR SOCIAL MEDIA IS NOT ACCEPTABLE MEANING YOU WILL BE CHARGED ACCORDINGLY. You are responsible for your schedule, not the studio.

If a No-Show occurs, all packages, limited memberships, and unlimited memberships will receive a $25 fee.


We reserve the right to modify class schedules, substitute instructors, or adjust offerings as needed.

We reserve the right to modify our cancellation policies and associated penalties at any time.

Clients are responsible for reviewing all studio communications, including the website, app, notification emails, and newsletters, to remain informed of current policies.

Memberships, Packages & Payments

Memberships & Class Packages

  • All purchases are non refundable and non-transferable.

  • Expiration dates and terms are listed at the time of purchase.

  • Memberships automatically renew unless canceled according to membership terms.

Membership Cancellation Policy

We require written notice at least 48 hours prior to renewal for any changes or cancellations. Written notices must be sent to studio@freedomcorepilates.com

When a membership cancellation request is processed, classes scheduled on or after the termination date will be cancelled and any unused credits leftover will terminate with the membership. Requests received within 48 hours prior to renewal will not be permitted and will apply to the next billing date.


Class Packages

• Single classes are valid for 30 days from the date of purchase and will expire if not used within that time.
• 5 Class and 10 Class packages are valid for 90 days from the date of purchase. Any unused credits will expire after 90 days.
• No extensions are permitted.


Changes to Membership: Upgrades & Downgrades / Freezes

Any changes you wish to make to your membership must be done in writing at least 48 hours prior to renewal. Written notices must be sent to studio@freedomcorepilates.com

Clients locked into lower or legacy membership rates who modify their membership in any way, including upgrades or downgrades, will be transitioned to current pricing. Freezing a membership does not affect your locked-in rate.

Freezes are a minimum of 30 days. It is $5 per month to freeze your account. If you have a limited membership, unused credits will be saved when you return. No use of membership credits is permitted during a freeze.


Billing

You authorize FreedomCore Pilates to charge your saved payment method for purchases, renewals, late-cancel fees, or no-show fees.


Refunds

All sales are final. Refunds are not permitted once a purchase has been made.

Studio Rules & Conduct

To maintain a safe, welcoming environment, clients agree to:

  • Arrive on time for classes

  • Wear appropriate workout attire

  • Use equipment properly and safely

  • Refrain from disruptive, unsafe, or disrespectful behavior

  • Follow instructor guidance at all times

  • Respect staff, clients, and studio property

  • If arrived early, keep talking volume to a minimum

  • Wait to go to any reformer until the previous class has completely finished cleaning and the room has cleared out

  • Any personal belongings you have brought to the reformer (water bottle or towel) must be placed on the right side to avoid disturbance to your neighbor


Level 1 Requirement:

• To ensure safety and consistency, clients must complete a minimum of five (5) Level 1 (Beginner) classes at FreedomCore Pilates before advancing to Level 2 (Intermediate).
• Previous Pilates experience at other studios does not replace this requirement.
• This policy helps build a strong foundation in core principles, proper form and alignment, and familiarity with FreedomCore equipment and teaching standards before progressing to more advanced movements.


Dress Code Requirements:
• Athletic wear suitable for movement (leggings, yoga pants, shorts, athletic tops)
• Grip socks are required for all reformer and equipment-based classes, failure to comply will result in inability to participate in any studio activities or classes

• Clothing must allow full range of motion and not restrict movement
• No jeans, belts, zippers, or clothing that may damage equipment


2 Classes Per Day:

• Studio policy allows a maximum of two (2) classes per person per day.
• If attending two classes in one day, it is strongly recommended that the second class be a Reformer Stretch class.
• Please note: Clients scheduled for two classes in a single day will be removed from any additional scheduled or waitlist classes for third or fourth classes.


Arrival Time / Late Arrival Policy:

• Please arrive no more than 10 minutes prior to your scheduled class time. Arriving earlier may be disruptive to classes currently in session.
Late Arrival Policy: For safety and class flow, clients must be on their reformer and actively participating within 6 minutes of the class start time.
• Arrivals after 6 minutes will not be permitted to join the class.
• Please note: Certain classes do not allow late arrivals under any circumstances.

• Classes with no late entry permitted include: introductory to reformer, dumbbell sculpt, and cardio.


No Phone Zone:

• We encourage a phone-free environment during class time.
• Clients are strongly encouraged to leave phones in the cubbies but the ringer must be turned off.
• Phones must be silenced during class, as ringing or alerts are disruptive to both clients and instructors.


Headphones:

• Headphones are not permitted during class, as they are distracting to other clients, disrespectful to the instructor, and unsafe due to the inability to hear proper cueing.


Single-Participant Class Policy:
• If only one (1) client is scheduled for a class, the class is subject to cancellation at the studio’s discretion.
• Clients will be notified via email and text if a class is canceled.


Excessive Late Cancellations or No Shows:

• If a client cancels or no-shows three (3) consecutive classes, FreedomCore Pilates reserves the right to remove that client from any future classes with a waitlist.
• Removal from waitlisted classes may occur 12–24 hours prior to class start time to allow another client the opportunity to attend.


Safety Policy:
• Clients must inform their instructor of all injuries, medical conditions, and physical limitations prior to class.
• Instructors are trained to provide modifications when necessary; however, they can only assist if they are informed.
• Please notify your instructor immediately if you experience unexpected pain or discomfort during class so modifications can be made.
• Clients must follow all instructor guidance at all times, including spring settings, exercises, and use of equipment.
• Deviating from instructor instruction—including adjusting spring settings or performing movements not prescribed—assumes full responsibility for any resulting injury.
• FreedomCore Pilates reserves the right to remove any client from a class if participation is deemed unsafe or inappropriate.


Returns From Serious Injury / Surgery:

• We require a doctors note before returning to class after serious injury or surgery.


Children / Pets:

• Children under 16 years old and pets are not permitted in the studio.

• You are to arrange proper child and pet care before arriving at the studio.


Lost / Found:

• Any unclaimed items from the lost and found basket that are over 90 days unclaimed will be donated.


Failed Payment Policy:
• Credit cards will be attempted up to three (3) times for any failed payment.
• If payment is not successfully processed after the third attempt, the account will be suspended until the full outstanding balance is paid.
• This includes monthly membership fees and any late cancellation or no-show fees.
• During suspension, all scheduled classes will be canceled and clients will be unable to book future classes.



We reserve the right to terminate or suspend access to Services for violations of conduct policies.

Waiver of Liability

By participating in any class or activity at FreedomCore Pilates, you agree to:

  • Release and hold harmless FreedomCore Pilates, its owners, instructors, and staff from liability arising from injuries, accidents, or damages incurred during participation.

  • Assume all responsibility and risks associated with physical exercise and equipment use.

  • Participation in any FreedomCore Pilates activity requires a completed and signed Waiver of Liability. Clients who have not signed the waiver will be prohibited from participating.


This waiver applies to in-studio, outdoor, and virtual classes.

Personal Belongings

You are responsible for securing your personal belongings. FreedomCore Pilates is not liable for lost, stolen, or damaged property.

Privacy Policy

Your use of our Services is also governed by our Privacy Policy, which describes how we collect, use, and protect your personal information. You can review it on our website.

Intellectual Property

All content on the FreedomCore website, marketing materials, logos, images, and class descriptions are owned by FreedomCore Pilates and may not be copied, reproduced, or distributed without written permission.

By participating in any FreedomCore Pilates class or activity, you grant permission for your image and likeness to be captured and used for marketing, promotional, and social media purposes without compensation.

Termination of Services

We may suspend or terminate your account or access to our Services at any time for violating these Terms, harmful behavior, unpaid balances, or other policy breaches.

You may terminate your membership or account by contacting the studio, following the terms of our membership cancellation policy.

Changes to Terms

We may update these Terms of Service at any time. Continued use of our Services after updates constitutes acceptance of the revised terms.
